New Ad Lead arrives from Meta campaign
  • Call within 5 min — voicemail + text if no answer
  • Unresponsive 15 min → Power Dialer

Done when: Contact made (→ Text Responded), or unresponsive after 15 min (→ Power Dialer).

Lead In Setter Lead (Jean) Call within 5 min
Invalid Lead
  • Remove immediately — no further follow-up

Terminal. Only triggered from Lead In.

  • One call per contact per day — max 7 days, then Unresponsive

Done when: Contact made (any outcome) or 7 days elapsed.

Power Dialer Setter Lead (Jean) Daily call · max 7 days
Unresponsive
  • Long-term nurture (email + SMS) — response returns to Text Responded

Exits only to Text Responded if they re-engage.

  • Manual follow-up only — respond within 5–30 min
  • Goal: qualify and book → Qualified

Done when: Call booked and revenue threshold confirmed (→ Qualified), or disqualified (→ Not Qualified).

Text Responded Setter Lead (Jean) Reply within 5–30 min
Not Qualified
  • Close contact — no further sales outreach

Terminal. Can be reached from Power Dialer or Text Responded.

  • Confirm appointment details — date, time, calendar invite sent

Done when: Lead verbally or in writing confirms they'll attend.

Qualified Setter Lead (Jean)
  • Remove from automations — keep pre-call reminders (1h, 30m, 15m)

Done when: Call occurs (→ Live Call) or lead doesn't show (→ No-Show).

Appointment Confirmed Setter Lead (Jean)
No-Show
  • Call within 5 min — voicemail + text
  • Unresponsive 15 min → back to Power Dialer

Exits to Text Responded (if reached) or Power Dialer (if unresponsive).

  • Log outcome and brief Closer (Jason) — handoff complete

Done when: Outcome logged, recording captured, Closer briefed.
