Primary KPI: Booked Calls
New Ad Lead arrives from Meta campaign
  • Manual outbound call within 5 minutes of lead arriving
  • Leave a brief voicemail and send a manual follow-up text if no answer
  • Unresponsive within 15 minutes → move to Power Dialer
  • Lead responds or picks up → move to Text Responded

Done when: Contact made (→ Text Responded), or unresponsive after 15 min (→ Power Dialer).

Lead In Jean Call within 5 min
Invalid Lead
  • Fake name, disconnected number, or obvious spam submission
  • Remove immediately — no further follow-up

Terminal. Only triggered from Lead In.

  • One outbound call per contact, every day — no exceptions
  • Maximum 7 days in stage; auto-advances to Unresponsive at day 7
  • Contact picks up or responds → move to Text Responded
  • Contact reached and disqualifies → move to Not Qualified
  • Contact books and qualifies → move directly to Qualified

Done when: Contact made (any outcome) or 7 days elapsed.

Power Dialer Jean Daily call · max 7 days
Unresponsive
  • Long-term nurture sequence runs automatically (email + SMS)
  • If they respond to any nurture message → move back to Text Responded

Exits only to Text Responded if they re-engage.

  • Anyone who picked up, replied, or re-engaged from nurture — but hasn't booked yet
  • All follow-up is manual — no automated messages while they're active
  • Respond within 5–30 minutes of any engagement
  • Removed from Power Dialer queue the moment they enter this stage
  • Goal: qualify and get the call booked → move to Qualified

Done when: Call booked and revenue threshold confirmed (→ Qualified), or disqualified (→ Not Qualified).

Text Responded Jean Reply within 5–30 min
Not Qualified
  • Revenue threshold not met or wrong business type
  • Close contact — no further sales outreach

Terminal. Can be reached from Power Dialer or Text Responded.

  • Lead has booked a call AND confirmed they meet the revenue threshold
  • Confirm appointment details — date, time, and calendar invite sent
  • No further action needed until appointment is confirmed by lead

Done when: Lead verbally or in writing confirms they'll attend.

Qualified Jean
  • Lead has confirmed they'll be available at the scheduled call time
  • Remove from all automations except pre-call reminders (1 hr, 30 min, 15 min before)
  • No other action needed — hold until call time

Done when: Call occurs (→ Live Call) or lead doesn't show (→ No-Show).

Appointment Confirmed Jean
No-Show
  • Manual outbound call within 5 minutes of missed appointment
  • Leave voicemail and send a manual text — same process as Lead In
  • Unresponsive within 15 minutes → add back to Power Dialer queue
  • Responds → move back to Text Responded

Exits to Text Responded (if reached) or Power Dialer (if unresponsive).

  • Call has taken place — log outcome immediately: showed, duration, temperature
  • Confirm call recording is captured
  • Update the Closer (Jason) with all context: business size, budget, objections, temperature
  • Remove from Setter pipeline — handoff to Sales is complete

Done when: Outcome logged, recording captured, Closer briefed.
